Results Management Coordinator, Management Sciences for Health

QUAL: 1. Minimum of Bachelor's degree. Masters degree in public health, communications or related field highly desirable.
2. Excellent conceptual, analytic, and writing skills. A clear, rigorous, strategic thinker with demonstrated ability to conceive and produce concise, engaging written materials.
3. Excellent literature review and web search skills, with an ability to identify key references, discern major themes, and synthesize disparate information.
4. High degree of fluency in using PowerPoint, Word, and Excel (or equivalent systems) to organize and present qualitative, quantitative, graphic and pictorial information in clear, convincing ways.
5. Understanding of global health issues, including developing country experience, highly desirable.
6. Demonstrated competence to assess priorities, manage a variety of activities in a time-sensitive environment and meet deadlines with attention to detail and quality.
7. Excellent organizational and interpersonal skills with a service oriented outlook and ability to interact professionally with a culturally diverse staff, clients and consultants.
8. Demonstrated ability to work as an effective team member in a complex and fast paced environment.
9. Good judgment, flexibility, and patience.
10. English fluency required; additional language skills in French and/or Spanish helpful.

DUTIES: The Results Management (RM) Coordinator is responsible for supporting the President/CEO in his work in global health development, client relations, MSH technical leadership, and implementation of the MSH strategic roadmap, and for supporting the Global Lead for Results Management (GL/RM), by assisting them with research and writing for their presentations, articles, and other written and verbal communications. The RM Coordinator also is responsible for administrative and logistical support required to ensure the smooth implementation of Results Management System (RMS) and for accurate flow of financial, administrative and other relevant RMS information. SPECIFIC RESPONSIBILITIES:

1. Provide literature search, web research and writing support to the President/CEO and GL/RM including creating visual aids for presentations, graphs and charts, and drafts of other communications products for conferences, publications, electronic, and other dissemination.

2. Assist in planning and preparing background briefings for participation by the President/CEO and GL/RM in global health conferences, events of global health and development organizations/associations, outside boards of directors, and other global health and development events.

3. Work closely with research, communications, and other staff in the Office of Communications and Knowledge Exchange (CKE), Business and Resource Development (BRD) and other Offices, Centers, and their projects to ensure free exchange and ready access to all communication products. Provide staffing support to the President/CEO and GL/RM for international development, global health and other internal strategy and action groups.

4. Assist the GL/RM in the overall management of the Results Management System, providing general support and coordination for ongoing implementation of the RMS and for the introduction of the RM database throughout MSH (in the US and all field offices)

5. Make and coordinate travel arrangements for the GL/RM and assist with travel arrangements for other OCE staff, as required. Ensure that travel arrangements are in compliance with USAID regulations, if so required.

6. Assist GL/RM in preparing expense reimbursements and consultant payment forms for a timely submission to MSH Accounting in accordance with MSH policies and procedures.

7. Coordinate meeting and workshop logistics for the GL/RM, including scheduling, facilities set-up, food procurement, and equipment needs. Prepare agenda, produce and supply materials, record and distribute meeting notes.

8. Serve as administrative backstop in the OCE, for drafting letters and memos, handling mail and phone calls, filing, photocopying, faxing, preparing and sending packages, coordinating conference calls, purchase of OCE supplies, and maintaining contacts database, as needed.

Records Management (part-time), The Mary Baker Eddy Library

QUAL: • The ideal candidate will posses (or be enrolled in) a Masters in Library Science or equivalent advanced degree with some specialty in archives or records management.

• Must have attention to detail, processing, analytical, and report writing skills. Excellent verbal and written communication skills are essential. Experience in staff training is a plus.

• Requires excellent computer skills including proficiency in Microsoft Office.

• This position requires signing a Confidentiality and Nondisclosure Agreement.

DUTIES: Responsible for assisting in the administration of The Mary Baker Eddy Library Records Management Program. This includes processing and entering records into the Records Management Database (currently Livelink), developing retention schedules, reviewing records according to records retention schedules, and providing accurate reports to Senior Management (including the Trustees) regarding the status of these records.

The work includes:

• Collecting and processing Library paper and multi-media records.

• In conjunction with the Office of Records Management, assisting in the development of retention schedules for Library records for Trustee approval.

• Managing records in accordance with retention schedules.

• Recalling and reviewing records for appraisal or destruction.

• Assisting staff in retrieval and returns of records from Records Center.

• Monitoring storage space allocation at the Records Center (cross charging).

• Reporting on the implementation of the records retention schedules as well as the destruction of time expired records to Library Management and Trustees of the Libraries as required.

DUTIES: This position is located in the Reference Branch of the Naval War College Library and reports to the Head, Reference Branch. Performs comprehensive reference, research and bibliographic services in both manual and online modes in the Reference Branch.
