Resources for On Campus Employers

Simmons faculty and staff seeking to hire a student for on campus employment should use Workday to create job requisitions, hire students, and approve time cards.

Workday is Simmons' HRIS system and main resource for on campus student employment. The Workday Careers Site carries employment opportunities for work study students as well as general student employees. As a Simmons faculty or staff member, you are able to post student job opportunities for your office via Workday.

Hiring a Student Employee

As a Simmons employee, you are already active in Workday. Please Click here to login. You will need manager access to hire students as direct reports. To gain this type of access, please contact Chelsea Owens at chelsea.owens@simmons.edu or at 617-521-2182.

Once a student has been selected to fill an open on campus position, you will need to initiate the offer in Workday. For instructions on how to do so, please see the job aid above. In order to hire a work study student, you must first confirm their eligibility for work study.

Once you complete the "ready for hire" task via Workday, the hire process will be sent to the Student Employment Administrator to complete the hire. Student employees who have not previously worked for Simmons will receive an email from Workday to login and complete part 1 of onboarding. The onboarding process is initiated after the student has been hired into Workday. This will include electronic completion of section 1 of the Form I-9. They will then need to go to the Benefits and Payroll office (E208) to show the identification required to Complete the I-9. To view the List of Acceptable Documents, click here.

Please Note: It is against federal law to begin employment without completing a Form I-9, which verifies an employee's eligibility to work in the United States. Section 2 of the Form I-9 needs to be completed within 3 days of the employees first day of work.

Part 2 of the onboarding process will require the student to enter their direct deposit and tax information into the system in order to get paid. Once the student has completed their onboarding in Workday, they are all set to work. They will enter their hours into Workday and you will approve the hours in Workday. Please note: All students are required to take at least a thirty minute break after every six hours of work.

If the student was already active in Workday, they are all set to work once you hire them. This new position will be listed as an additional job on their profile.

Resources for Off Campus Employers

Off campus not-for-profit employers looking for student employees during the school year can post jobs and hire work study students through Workday.  Workday is Simmons' HRIS system and main resource for off campus student employment. The Workday Careers Site carries employment opportunities for work study student employees. Once you are approved as a non-Simmons student supervisor, you will be able to post student job opportunities for your organization via Workday.

Please note that off campus work study employment can only be completed at not-for-profit organizations by students with work-study awards granted through Student Financial Services . Employers must provide proof of their not-for-profit status (i.e. a copy of your Form ST-2) before getting access to Workday.

To register for Workday as an off campus not-for-profit employer, you will need to contact Chelsea Owens at chelsea.owens@simmons.edu or 617-521-2182. You will need to submit proof of your organization's not-for-profit status (typically a copy of your Form ST-2) before getting approved. 

Once approved by the Student Employment Administrator, you will be hired into workday as a non-Simmons student supervisor and will be able to login to Workday and start posting jobs. Please be aware that all students will need to reapply to jobs either internally or externally, depending on their current employee status. All Work Study positions are terminated after Commencement of each year.

Hiring a Work Study Student

Benefits and Payroll will also require a copy of the FY18 Work Study Contract for each off campus work study student you hire.  Please print the form, fill out the front and your portion of the second page, and email the contract to Chelsea Owens at chelsea.owens@simmons.edu.
